Project Overview

One of Tech9’s key clients is undertaking a critical initiative to document their animal hospital Practice Management System (PMS) as we build out a replacement development team and execute a team transition. Currently, there is minimal documentation on the PMS itself, creating significant knowledge transfer risks during this team transition.

This role is essential to capturing institutional knowledge from the existing team, documenting technical architectures, creating comprehensive developer onboarding materials, and identifying areas for system improvement. The documentation created will serve as the foundation for successfully transitioning the PMS to a new development team while maintaining continuity and accelerating their ability to contribute effectively.

The initiative encompasses system documentation, technical architecture mapping, API documentation, developer guides, process documentation, and knowledge base creation. A core aspect of this role is to work closely with the current developers and engineers to extract knowledge during the transition period, while simultaneously creating resources that will enable new team members to quickly understand and work with the PMS.

Role Overview

This Technical Writer will serve as the documentation lead for the client’s PMS platform transition, working to capture and document critical system knowledge during our team transition. This is a full-time, remote role that will collaborate closely with engineers and subject matter experts on the client’s side and Tech9’s side to create comprehensive technical documentation from the ground up.

The ideal candidate will bring strong technical writing skills, the ability to quickly understand complex software systems, and experience working with development teams to extract and organize technical knowledge. This person will play a crucial role in ensuring business continuity while accelerating the onboarding of our new development team members and identifying opportunities for improvement.

Responsibilities

  • Create comprehensive technical documentation for the Practice Management System, including system architecture, data models, APIs, and integration points.
  • Work directly with the existing developers and engineers to capture institutional knowledge before and during team transition.
  • Develop clear, accessible developer onboarding guides and technical reference materials for new team members.
  • Document existing codebases, identifying key components, dependencies, and critical workflows.
  • Create and maintain API documentation, including endpoint descriptions, request/response formats, and usage examples.
  • Establish documentation standards and templates to ensure consistency and maintainability across the platform.
  • Identify and document areas of technical debt and opportunities for system improvement.
  • Organize and structure documentation in a way that serves both immediate transition needs and long-term knowledge management.
  • Collaborate with new team members to iterate on documentation based on their onboarding experience and feedback.
  • Maintain version control of documentation and ensure it stays synchronized with system changes.

Minimum Requirements

  • 5+ years of experience as a Technical Writer in software development environments
  • Proven experience as a Technical Writer, preferably documenting complex, enterprise-level software, API’s, and architecture (Practice Management, or EMR/EHR systems a plus).
  • Demonstrated ability to proactively interview stakeholders, subject matter experts (SMEs), developers, product managers, and end-users—to extract technical information.
  • Excellent ability to understand and explain technical concepts to various audiences
  • Experience creating developer-focused documentation including API docs, code examples, and integration guides
  • Proficiency with documentation tools and platforms (e.g., Confluence, GitBook, Markdown, Git)
  • Strong organizational skills and ability to structure large bodies of information effectively
  • Ability to work independently in fast-paced, dynamic environments with evolving requirements
  • Excellent written and verbal communication skills

Preferred Requirements

  • Experience documenting practice management systems, hospitality software, or similar enterprise platforms
  • Background in software development or engineering (ability to read and understand code)
  • Familiarity with modern development tools and workflows (Git, CI/CD, agile methodologies)
  • Experience with documentation-as-code practices and automated documentation generation
  • Experience working on team transition or legacy system modernization projects
  • Familiarity with diagramming tools (e.g., Miro, Lucidchart, Draw.io) for technical architecture documentation
  • Previous experience in knowledge management or creating onboarding programs for technical teams
