Your Primary Responsibilities:

  • Provide direct support to the CEO, CRO, and CFO through managing a large amount of tasks set forth by the assigned executive team on a daily basis
  • Manage leadership calendars, meetings, business travel arrangements and expenses
  • ​​Act as a key liaison between the Exec Team and the rest of the company
  • Prepare reports and other confidential materials for executive meetings
  • Build regular slides and content for the leadership meetings and company all hands
  • Partner with CEO and exec team to plan for monthly and quarterly meetings, coordinating the content and slides with relevant stakeholders
  • Act as an on the ground representative for the Exec Team
  • Coordinate difficult schedules, adapt to various competing demands, prioritize multiple projects and handle conflicting needs
  • Apply sound judgment while driving recommendations and solutions in sometimes high-pressure situations
  • Schedule internal and external meetings with Tech9 employees, candidates, investors, board members, customers, etc.
  • Coordinate and prioritize meeting invites, team and company initiatives to ensure optimal time management
  • Proactively anticipate schedule conflicts
  • Manage meeting logistics (Agendas, meeting space, catering, etc)
  • Plan and execute all department events and company/holiday parties
  • Help manage virtual and onsite company meetings, quarterly business reviews, monthly/weekly leadership meetings, etc
  • Manage executives’ calendar and email correspondences throughout the day
  • Prepare and manage several monthly expense reports and coordinate travel
  • Coordinate occasional personal tasks, such as errands or service appointments, to help maximize executive productivity.

Qualifications:

  • 3+ years of executive assistant experience 
  • Must have a strong service-oriented attitude and excellent interpersonal skills
  • Proficient in Google Drive (Word, Slides, Sheets, Forms, etc.)
  • Experience establishing relationships and negotiating with vendors
  • Experience managing budgets and event planning
  • Ability to exercise a high degree of tact, diplomacy, and discretion with sensitive matters
  • Demonstrate a high level of autonomy while staying efficient in a highly pressured fast-paced environment
  • Flexible team player willing to do what it takes to get the job done
  • Promote and embrace company initiatives by being a change leader
  • Ability to build and maintain cross departmental relationships
  • Must be able to sit or stand for long periods of time
  • Ability to lift 25-30 pounds on occasion
  • Excellent written and verbal communication skills
  • Willing to be in the Lehi, UT office 3-4 days a week. 
  • Ability to handle personal affairs, which will likely lead to abnormal working hours

Interview Process Overview:

Below you'll find an outline of the interview plan for our Executive Assistant position. Please note that this is what we expect the process to look like; we may ask you for supplemental information or require an additional step before making a final decision.

  • Screening and alignment call with Recruiter (15-30 min - phone call or Zoom)
  • 1st round core interview via HireVue (1 hour - Online Assessment)
  • 2nd round skills interview w/ CEO (1 hour - Zoom or in person)
  • Final onsite interview w/ Executive Team (1 hour - Lehi, UT Office)

Compensation:

Tech9’s OTE range for this position is $70,000-$90,000, with promotional options long term. This salary range includes a few levels. Your level is based on our assessment of your interview performance and experience, which you can always ask the hiring manager about to understand in more detail. Salary is just one component of Tech9’s total compensation package for employees. Your total rewards package at Tech9 will include medical, HSA contribution, 401k match, an unlimited PTO policy, and many other region-specific benefits.
